Spoutwood Fairie Festival Vending FAQ

[vc_row][vc_column][vc_column_text]Thank you for your interest in the Spoutwood May Day Fairie Festival. Here are some things you should know! Our Festival is now in its 27th year of bringing joy to thousands of people. Our artists have been a huge part of this. We have patrons who wait all year to come to Spoutwood to add to their collections. Only two or three vendors who “resell” goods are accepted.

Deadline for applications is January 20. Decisions will be made by early in February, and all applicants will be notified by email their status. Once accepted, payment will be required by March 15. No refunds will be given after April 1.

All artists, no matter how long they have been with us, must go through our jury process. Jurying is done by a geographically diverse group of us; your work must be on a website. We prefer those with a dedicated website for the sale of their work. We look for those with websites for several reasons. We like our patrons to see who’s coming to the Festival in advance, and we do a lot of promotion of our artists before the Festival. And we like our patrons to be able to find you afterwards so they can continue shopping with you! Also, your website will tell us a little about you. It also demonstrates that you are a serious, professional artist.

Vending fees
We have several options:

Vendors may “share” a booth, but each must be juried separately. Division of vendor fee is between the sharing vendors.
Payment of vending fees:

  • Your vending fee is due upon receipt. If not paid by March 15 your vending status will be voided.

Insurance
All accepted vendors must provide proof of insurance within 20 days of their acceptance notification to meet these requirements:

Spoutwood Farm Center Inc. and Robert and Lucy Wood 4255 Pierceville Rd Glen Rock PA 17327 must be listed as additional insureds on the policy.

In addition, exhibitors are responsible for their own insurance for displayed work, tools and/or equipment. The May Day Fairie Festival assumes no liability for damage due to weather or other natural causes or theft.

Sales tax
You must procure a Pennsylvania sales tax license if you’re selling anything taxable, no matter what state you live in.

Other stuff

You must be present every day of the Festival. This means:

  • You may not have someone else staff your booth for you. You may of course have helpers, but you must be onsite all three days.

The work you sell must be your own. This means:

  • You may not invite your friends to sell their products in your booth.
  • You may not use other artist’s images or work in any way unless you have permission.
  • You must be aware and abiding of any copyright issues associated with work.

Note: This applies to use of the word “Kubiando” on any merchandise.

Setting up

  • You must supply your own tent, tables, etc.
  • The space you pay for is the space you get. 12×12 gives you plenty of room for staking, etc.
  • We expect you to decorate your vending site in keeping with the Fairie theme of the Festival.
  • No electricity is provided.
  • We ask that you use recycled and/or recyclable materials for your packaging, etc. Here’s a link.
  • Festival will be held rain or shine. Be prepared. There is no rain date.
  • Spoutwood has had to cancel the Festival ONE TIME (for one day) in 26 years of events. We will only cancel if weather becomes threatening, or any other condition occurs that makes the Festival less than the joy-filled event it’s meant to be. In that case, if the Spoutwood Board determines refunds should be made, they will be made; this is not guaranteed. If you decide not to show up without communicating to the Vendor Coordinator, your fee will not be refunded, and you will probably not be invited back.
  • Our patrons are from all walks of life, many beliefs and backgrounds. We ask that your work not represent any overtly religious themes, but that they are inclusive. Do not bring any products that encourage drug use: no pipes, smoking materials (legal or not), etc.
